Job Requirements & Description

About the Role – Purpose:
Under the supervision of the HR Officer, the HR Assistant will handle all routine activities of the HR & Admin Departments. She/he should deliver her/his duties and responsibilities in an efficient and professional manner. The position holder will carry out filing and other HR & Admin related tasks.

Job Responsibilities

  • Maintains up-to-date records (both in hard copy and soft copy format) of all staffs by making sure all the necessary work-related documents are filed for new hires on a timely manner.
  • Maintaining records related to grievances, performance reviews, and disciplinary actions.
  • Updating and maintaining employee benefits, employment status, and similar records.
  • Performing file audits to ensure that all required employee documentation is collected and maintained.
  • Managing termination paperwork and assisting with exit interviews.
  • Ensure staff are registered on pension scheme and follow up staff retirement process.
  • Keep track on submission of staff pension and TIN number records.
  • Make sure ID cards are prepared and distributed to new staff on time.
  • Posting job ads and organizing resumes and job applications.
  • Ensures office supplies are available in the department and make sure timely replenishment and distribution of materials. Keep track of material movements.
  • Receive and compile applications received and prepare the CV summary of applications received.
  • Assists in recruitment process and participate in interview whenever it is necessary.
  • Assist in Preparing Employment Contract for indefinite, definite and temporary period employees.
  • Prepare work contracts, time sheets, reports and other pertaining documents for temporary incentives and other workers as required.
  • Liaise with hospitals that have credit medical service facility contract with Concern Worldwide, update them staff and dependents data on quarterly basis and follow up contract renewal issues.
  • Compile and process medical reimbursement requests and keeping track of staff medical records. Ensure staff medical reimbursement claims are settled timely.
  • Collection of time sheets and monthly tracking of leave balances.
  • Support the field team through regular field visit as required.

Job Requirements

Person specification:
Essential knowledge, skills and experience

  • Diploma or degree or vocational/ technical training related to the role.
  • Strong oral and written English.
  • Computer skills.
  • 2-3 years relevant experience.
  • NGO experience is a plus.

Skills Required

  • Basic managerial skills.
  • Technical and report writing skills.
  • Computer literate.
  • Fluent spoken and written English.
  • Good communication and interpersonal skill.
